At a glance
Overview
- 1 Open WhatsApp Suite → Contacts (Manage Contacts).
- 2 In the toolbar, open Cleanup Tools (shown when you can view full phone numbers).
- 3 Choose Merge duplicates, Suggested Name Updates, or Undeliverable contacts — details for each tool are below.
Step by step
The three Cleanup Tools
Open Manage Contacts → Cleanup Tools, then pick a tool.
Merge duplicates
Find contacts that share the same phone number (formatting ignored) and keep one contact per group.
- 1 Open Cleanup Tools → Merge duplicates.
- 2 Wait for the scan. For each duplicate group, pick which contact to keep.
- 3 Expand What happens when you merge… if you want the full impact list (chats, campaigns, groups, custom fields, and more).
- 4 Tick the acknowledgement that merged duplicates are deleted permanently, then click Merge all.
- 5 Confirm the merge. This cannot be undone.
Suggested Name Updates
Replace stored contact names with the WhatsApp profile name (webhook name) when they differ.
- 1 Open Cleanup Tools → Suggested Name Updates.
- 2 Review the list (up to 1000 suggestions). Each row shows current name → WhatsApp profile name.
- 3 Select the contacts you want (or Select all), then click Update Selected.
- 4 If no differences are found, the list will say so.
Undeliverable contacts
Find contacts whose messages never delivered — they may not be on WhatsApp or may have blocked you. This is how you identify contacts that are not on WhatsApp based on delivery failures.
- 1 Open Cleanup Tools → Undeliverable contacts.
- 2 The list shows contacts with Meta Message undeliverable failures (error 131026 / undeliverable wording) who never had a message delivered or read.
- 3 Review Contact, Groups, and Status (error code, message, failure count). Up to 1000 contacts are listed.
- 4 Select contacts, then Add to group… (to segment them) or Delete selected (permanent — confirm carefully).
- 5 If the list is empty, no contacts currently match: undeliverable failure and never delivered.
Tips
- Cleanup Tools appears on Manage Contacts — not inside an individual Contact CRM page.
- Undeliverable contacts is the right tool when you ask “which of my contacts are not on WhatsApp?” — it uses Meta undeliverable (131026) history, not a live WhatsApp directory check.
- Merge cannot be undone. Prefer adding undeliverable numbers to a group before deleting if you might reuse the list.
- Editing contacts and running cleanup actions need contacts edit permission; the Cleanup Tools menu also needs full phone number visibility.
